You can solve the two most frequent mysteries plaguing mail rooms: “Where’s my package?” and, “What happened to my package?!” The where is easy: Adopt an organizational system for your package storage, or package re-delivery, and use your tracking program to log in its whereabouts at all times until it reaches its final destination. The “What happened to my package?!” is a thornier issue, since what happened is likely damage, and the problem to solve is “Whodunnit?” Take a picture of any damaged item when it arrives so the liability doesn’t fall on you. Answering these two questions can take up a lot of your time, unless you have the truth of the matter on record.
Step 3: Simple Enough for Everyone
Whenever you’re adopting a new way of doing things, even a “simple” one, transitions can be difficult on front desk and mail room staff. Before deciding on package tracking software, ask to try it out (testing for how intuitive it is to use), and ask what training they offer to clients’ employees. Best case: They do offer training, but few people ever use it because it’s SO simple to use!
