Believe it or not, it is quite common for mailrooms all over the world to still use paper logs when they receive packages. What’s most surprising is the number of corporate mailrooms who don’t have a package system other than a binder full of spreadsheets and hand written logs. Even if your mailroom uses an Excel spreadsheet to keep track of packages, you’re still wasting valuable time by not having a corporate mailroom package system.
In any mailroom across the Country, organization is key to the minimal amount of time possible being spent on delivering packages.
Here are 10 quick tips on how to organize your Corporate Mailroom Package System:
1) Use Package Logging Software (EZTrackIt). Isn’t this the most obvious way? EZTrackIt is a great way to ensure your mailroom runs as smoothly as possible at all times. We also know that your mailroom clerks will spend less time logging in packages than ever before, increasing productivity and improving your bottom line.
2) Come up with a system. If you would prefer to do paper logging then come up with a system that everyone follows. If your system has room for improvement, make those improvements (by perhaps, going paperless..)
3) Train your mailroom workers. If mailroom workers are employees of the company, ensure they know what’s expected of them (when to log packages in, when to notify of a package arriving, etc)
4) Have a designated Mailroom! Don’t have all the packages go to reception. Reception is a place where clients are greeted; seeing packages laying around can be an eyesore.
5) Ensure the designated mailroom is tidy and spacious enough to hold all the packages.
6) Speaking of designated mailrooms; have a designated location for packages. Staying organized by having shelves available for packages to be placed on while their recipient picks them up is key. You’ll know where the packages are and de-clutter the workspace.
7) Stay green! Stop with the little slips of paper if you haven’t already! Use eco-friendly ways of notifying recipients that their packages have arrived (e-mail or a phone call). A corporate mailroom package system like EZTrackIt is great for this kind of thing.
8) Train your mailroom workers. If mailroom workers are employees of the company, ensure they know what’s expected of them (when to log packages in, when to notify of a package arriving, etc)
9) Designated package pick up times. Have a designated time for your employees to pick up their packages. It will help save on time.
10) Use EZTrackIt… I know this is a tip that I gave twice, but EZTrackIt does so many of the above things for you. We make your life easier and our corporate mailroom package system will make everyone happy about logging packages.
You’ll love how efficient package logging positively affects your mail room.
