We know what you’re thinking, “It’s not even July yet! Fall move in is so far away!” But it is closer than you may think. One minute you’ll be working on your tan out by the pool and the next minute August will be dwindling down and the packages in your campus mailroom will be piling up. Between your beach trips and BBQs take some time to prepare your mailroom and staff for the fall move in.
Below is our top advice on gearing up for fall semester so your move-in will go as smoothly as possible.
- Implement Package Logging Software: Summer is the perfect time to set up a package tracking system. Fewer packages are rolling in as students are home for summer break, allowing time for the learning curve to subside. Introducing package logging software well before fall move-in ensures that the system is running smoothly when the big day arrives.
- Use This Time to Train Your Staff: Training is ideal in the slow season as you will be able to capture your staff’s full attention without incoming packages or side projects distracting them. Make use of our training videos to enforce your formal training and give your team time to practice using our package tracking system before the text books and dorm essentials start rolling in.
- Designate Specific Package Pick Up Locations and Times: Let’s face it, some campus mailrooms are just not conducive to the rush of students who pick up packages on and around move in day. Choose a separate area, or even multiple areas, like classrooms or meeting rooms, to use as “homebases” for package pick-up. Create a filing system to organize your packages and use our package logging software to record the location of each package, allowing your staff to locate the package in a matter of seconds when a student comes to pick it up. Make sure your students are aware of these locations, as well as the times that they will be open for package pick up.
- Use Package Notifications to Your Advantage: Our package tracking system will automatically send notifications to package recipients when their packages are logged in, via Facebook, email or text message. But did you know that you can also send reminder notifications? Setting up reminders with our packages logging software to go out to students on move in day keeps their packages fresh in their minds. You can even send messages to students who still haven’t picked up their packages several days.
